Purpose

The purpose of this policy is to facilitate the smooth flow of the IT activities associated with new employee joining /leaving at SSMC

Poilicy

New employee

Interaction of an employee with SSMC’s IT infrastructure starts from the day when he/she gets an offer letter. HR department will inform the SSMC’IT dept. officially about the appointment of a new employee minimum 1 week prior he /she starts, to make sure the necessary arrangements are done.

HR, after discussing with CEO/HOD/Team Leader, will send a email to IT with details of the new employee’s full name, employee ID, designation, department, mobile number, seating location and IT facilities needed (Example: desktop or laptop, Mobile, SIM Card, designated email groups etc).

HR will arrange a formal IT-Get-Know-training, which will take 2 hour, for the new employee at the earliest. After the training only, he/she will be allowed to use any SSMC's systems.

SSMC is using its in-house HIS for the patient care plan the concerned employee (clinical staff) will be trained in the software. The initial training in HIS will be for 3 -4 hours. A follow-up HIS training will be given to the staff by an IT representative and he will sit with the new employee during his initial days, while he is working, and will help him with the practical usage until he/she is confident on using the system. Upon completion of the training, the staff’s proficiency will be evaluated in operating the system by IT staff. and the final results will be conveyed to HR.

New employee training

All the new joiners will be getting IT training and they include, but not limited, to the following:

  • SSMC IT infrastructure
  • SSMC IT Rules and Regulations/Policies
  • SSMC HIS/CORE systems
  • SSMC IT method of operation

User Leaving

  • HR will inform IT Dept in advance.
  • Employee should hand over all the IT-telecom devices to the IT dept and take clearance from IT Dept.
  • His/her line manager will take the appropriate data / roles / projects hand over.
  • User computer account will be disabled and emails will be stopped
  • Email box will be disabled in 30 days.
  • Special request is needed (by mail from HR) to keep the mail box / user id after 30 days.
